Manage Leaderboard

Learn how to create custom Leaderboards in this step-by-step article.

Custom leaderboard creation allows to design and configure leaderboards tailored to your org's specific needs. You can define the criteria for ranking participants, and set up scoring rules of the leaderboard. This feature provides flexibility in showcasing performance metrics and fostering competition within groups or organizations.

How to set up a custom leaderboard?

Step 1: Navigate

Go to Admin > Manage Leaderboard. Then, click on + Create Leaderboard.

Step 2: Add the details

Fill in the leaderboard details like Leaderboard Name, Description, Score Name, Leaderboard Winner Title.

  • Set the start date using the calendar icon inside the box to schedule your launch for the custom leaderboard.

  • Select the number of winners to display using the drop-down menu.

  • Set the frequency after which you want to reset the scores of every participant – it can be 1st of every month, 1st of every quarter or annually.

Once the leaderboard is active, the frequency cannot be changed in the future, as the scores are reset based on this frequency. The only option is to disable the leaderboard and create a new one.

Step 3: Define events for your custom leaderboard

You may choose from events created for your default leaderboard or create new custom events based on your requirements.

To create a custom event, add the event's name and click on Add New Event.

Next, enter the event code (a custom code to help identify the event) and define the score and event activity). Add the Recommended Score and define the event type. Once done, click Submit.

Creating a leaderboard should be configured with at least 2 active events.

Step 4: Define members

  • Finally, define the Group using the drop-down menu that can participate in this leaderboard ranking.

  • Check the Winner Publishing Setting - If checked, will notify and publish winners on the group feed.

  • Click Continue to proceed.

Step 5: Configure Rewards

If you want to issue monetary rewards, click yes or no based on your business requirements.

  • If you click Yes, you will be asked to set up milestone-based rewards. The step-by-step procedure is listed on this page.

  • Clicking No, will let you finish the creation process at this step.

Step 6: Create leaderboard.

Click Create to finish the set-up. This will take you to the following page. You can toggle the icon, as shown below, to activate the leaderboard you just created.

How to update the leaderboard score with custom events?

  • Navigate to manage leaderboard in admin settings and select the leaderboard you want to update.

  • Click on Update data for custom events.

You can now upload the file in the format given above and click on next to validate the uploaded file for records.

If a user has more than one event code associated with them, there should be a row for each event separately.

On completion, you can click on Update score.

How to add/edit credit for events?

Step 1: Every action users take on Empuls is linked to engagement credits, which are non-monetary points for measuring employee participation. The cumulative score of these accumulated credits determines the position of an employee on the leaderboard.

Step 2: Navigate to Admin > Other Settings > Manage Leaderboard > Open the leaderboard > Edit leaderboard > Define events and select the List of Events option to edit engagement credits for each activity.

Step 3: We can edit the credit for an event without editing the leaderboard, navigate to Admin > Other Settings > Manage Leaderboard > Open the leaderboard >click on edit icon, do the changes and click on submit.

How to Update Leaderboard Event Status

To update the status of leaderboard events, go to Admin > Other Settings > Manage Leaderboard, click on a specific leaderboard, and in Step 1, toggle the button under the Status column to enable or disable events as needed.

How to exclude users?

Step 1: Navigate to Admin > Other Settings > Manage Leaderboard > Open a leaderboard> Exclusion List to exclude specific users from the leaderboard rankings by adding them to the exclusion list.

Step 2: Add the user's name and click Save. These excluded users will not be ranked or incentivised for any activity on Empuls.

Step 3: If you wish to remove a user from the list then hover on the user name and click on delete icon.

How to Manage Categories on a Leaderboard

  • Navigate to Admin > Other Settings > Manage Leaderboard > Manage Categories.

  • Click Create Category, add the details, including the name and description, and click Save.

  • You can edit existing categories using the pen icon next to each one.

  • You can enable or disable categories by toggling the status switch next to them.

Setting up milestone-based rewards

  • To set up milestone-based rewards in an already running leaderboard, go to Admin> Manage Leaderboard> click on the particular leaderboard on which you wish to add milestones.

  • Go to Edit Option. Click Continue at the leaderboard details step.

  • Click Continue on the Define Events step.

  • Click Continue on the Define Members step.

  • At the configure rewards step, select the Yes option.

  • Select a rewarding criteria from the drop-down menu

  • If you select "Score for a game period":

    • You will see an auto-enabled option under "How would you want to issue rewards".

    • Rewards will be issued automatically whenever a milestone is achieved at the end of the period.

  • If you select "Score across multiple game periods":

    • This means the leaderboard will continue across different game periods.

    • You will see two options under "How would the rewards be distributed":

      • Issue rewards automatically whenever a milestone is achieved.

  • Allow eligible participants to claim rewards manually.

    • You can also choose to reset the score to zero upon claiming the reward by checking or unchecking the respective box.
      If this option is checked, users will claim rewards and start over.
      If unchecked, they can continue progressing towards the final milestone without resetting their score.

    • End users will see a "Claim Rewards" icon when they navigate to Home > Leaderboard > Milestone.
      For each milestone they achieve, a "Claim Reward" icon will appear, allowing them to manually claim their reward.Define milestones and respective rewards by clicking +Add Milestone.

  • Add the milestone name, score, description, email subject line and body text.

  • If you wish to send a gift or award to a user, select "Yes, send a gift."

  • Once done, click Continue to proceed.

  • Choose the relevant option on howthe rewards woulds be disbursed?

  • Click Update once done.

Leaderboard Visibility

Step 1: Navigate to Admin > Other Settings > Manage Leaderboard. Click on the three dots icon at the top of the screen.

Step 2: Select Leaderboard Visibility Settings.

Step 3: Check the boxes next to the leaderboards you want to display on your employees' home page.


Uncheck the boxes, if already checked, for the ones you don't want to display. Finally, click Update Leaderboard Visibility.

FAQs

Q1. Can I exclude certain users from the leaderboard rankings?

You can exclude specific users from the leaderboard rankings, by adding them to the exclusion list. The excluded users will not be ranked or incentivized for any activity on Empuls. You can remove them from this list anytime.

Q2. Can I edit an active or existing leaderboard?

Yes, you can edit the leaderboard name, description, score name, or modify events. You can also disable an active leaderboard.

You won’t be able to edit the start date, frequency, and group configured for the leaderboard.

Q3. When and where do the winners get announced?

The winners (top 3) are announced according to the frequency set for the leaderboard. They are announced on the feed of the group selected while creating the leaderboard.

Q4. Where can employees see the leaderboard ranking?

Employees can see their leaderboard ranking in the Leaderboard menu under Home.

Q5. Can we create a leaderboard for specific users?
Yes, create a specific group for those users only, and while creating the leaderboard, select that group. You can select the option to announce the winners in that group.

Q6. Can I see the leaderboards ranking on the Home page?
Yes, on the RHS at the bottom, we have a specified widget for leaderboards.

Q7. Can I create custom categories?
Yes, we can create custom categories, and the same we can also map them for any of the events/activities in the leaderboard.
