Service Awards in Empuls are designed to celebrate employee work anniversaries, whether it’s their 1st, 3rd, 5th, 10th year, or more. The Service Award automation helps HR and People teams deliver timely, meaningful recognition while reinforcing a culture of appreciation.

Empuls ensures each milestone is acknowledged with personalized messaging and a variety of reward options—such as reward points, personalized plaques, trophies, certificates, merchandise, monetary bonuses, gifts like watches, jewellery, or electronics, and travel vouchers—all without manual effort.

How to Set Up Service Award Automation?

Step 1: Navigate to Gifts > Automate Gifts

Begin by going to the “Gifts” tab, then select “Automate Gifts”.

Step 2: Set Up the Long Service Award

Select from the available event templates, such as “Celebrating a Work Anniversary”, or click “Create New Automated Communication” to create from scratch.

Step 3: Click “Let’s Begin”.

Step 4: Select the Work Anniversary Event

You will see a list of communication event options. To set up a Long Service Award (LSA), select the event “Celebrating a Work Anniversary.” Click “Continue” to proceed.

Step 5: Add Gift Details

5.1 Enter a Gift Name and Description (e.g., 5-Year Work Anniversary Award).

5.2 Select the milestone year (e.g., 1, 3, 5, 10) from the drop-down menu for which you want to set up an automated service award. Thanks to the HRMS integration on Empuls, the system reads each employee’s joining date and automatically triggers the award when they reach the selected anniversary—ensuring timely and seamless recognition without manual effort.

5.3 Notify stakeholders about the greeting (e.g., managers) by checking the box and selecting names from the dropdown. This is an optional requirement. Click “Continue” to proceed.

Step 6: Configure the Award

You have two options to configure the award:

Option A: Reward Points

  • Select Reward Points from the dropdown.

  • Enter the number of points to be awarded.

Option B: Add Products from the Reward Store

  • Select “Yes, Add Products from Store”.

  • Click “Select Collection”.

  • On the Collection(s) List page, you can:

  • Use an existing collection by hovering over it and clicking “Use this Collection”.

  • Create a new collection by clicking “Create New Collection” and adding products.

  • You can add products from Gift Cards or Merchandise by navigating to the desired tab, selecting the items, and clicking “Add” to include them in your collection.

  • You can preview the selected items on the right. Once you're done, click “Next” to continue.

  • Add collection details such as the Name, Maximum Spend Limit, and Purpose.

  • Click “Save” once done. The collection will appear in the list of all collections. Hover over it and click “Use This Collection” to apply it.

  • Click on Change Collection.

Step 7: Add a Certificate (Optional)

Check the box to add a certificate. Once done, click “+ Add Certificate” to proceed.

You can either use a template certificate or create a custom certificate from scratch. After making your selection, preview it on the right and click “Continue”.

Step 8: Add Message Details

Enter the Title and Message Body for the work anniversary recognition. Preview your message on the right.

To modify the image, click “Edit Gift Image” on the right side.

Step 9: Select Recipients for the Communication

9.1 Hover over the pen icon to choose recipients.

9.2 You can send the LSA award to everyone or select specific individuals. Use the filters to narrow your selection. For example, you can choose recipients by designation (e.g., managers).

9.3 Once done, click “Save and Continue”.

Step 10: Review and Confirm

Review all the settings to ensure everything is correct. Once you're satisfied, click “Confirm and Create” to finalize the setup.
