Manage your expenses for a seamless rewards redemption.

Super Admins can manage the expense of the rewards and recognition programs. They can manage three aspects of the Rewards Program as listed below:

Manage Organisational R&R Budget

Reward Admins (i.e. Super Admins) can control the reward expense of the organisation by managing the total points created in the system. Here is a step-by-step mechanism of how it works.

Create reward points

The Super Admin can create these points using their assigned personal budget.

  1. Navigate to Admin > Rewards and Recognition > Manage org Budgets. Click on Create Reward Points.

2. Select the desired time frame you wish to create the reward points for, for instance, a day, a month, or an year.

3. Enter the total number of reward points you wish to create. It will show in the equivalent currency as well. Click on Create

4. You can also choose to destroy reward points. Click on I want to destroy points instead at the bottom. Enter the number of reward points you wish to destroy. Click on Destroy.

  • You only need to pay for reward points at the time of redemption.

  • The organisational wallet must have sufficient funds to honor redemption on the Empuls store. Refer to the next section to learn more about it.

Cost of Living Factor (COLF)

Define the value of a point

Define the conversion value of 1 point to a specific currency. We recommend using the local currency to set the base value of points in your account. It is a one-time setting and cannot be changed later.

1) Scroll down to the Wallet card, click the 3 Dots on the right side, and click on Add New Wallet

2) Select the desired currency from our list of supported currencies. Click on Add Wallet(s) after selecting it.

Once you add the wallet, define the value of 1 point in that particular currency in the Cost of Living Factor card at the bottom. Learn how to do it using the following steps:

a) Navigate to Admin > R&R Settings > Manage Org. Budgets. Scroll down on the same page to > Cost of Living Factor. Adjust the value of points in the local currency of the employees by factoring in the cost of living factor for that country.

b) To edit the value of 1 point against each currency, click on Edit.

c) You can also disable COLF by clicking the three dots icon at the top of the card and choosing Disable Cost of Living Factor.

d) To change the base currency and value of 1 point in your org's Empuls account, click on Update.

e) You can update the points-to-currency conversion rate until the first redemption on your account. Once the first redemption is made, the conversion rate is frozen and can no longer be updated, ensuring reporting consistency.

Manage the Redemption Wallet

Add funds to the organisation’s redemption wallet, to allow employees to redeem reward points for purchasing gifts, merchandise, and experiences from the Empuls store.

Add money to your wallet

Adding money to your organisation's Empuls wallet allows your team to redeem the reward points earned on the platform. Amount in the wallet gets debited whenever an employee chooses to redeem their points in exchange for a gift card, voucher, or merchandise on the platform.

1) Navigate to Admin > Rewards and Recognition > Manage Org. Budget to fund your org wallet

2) Choose the currency wallet you wish to add funds to. Click on Add Funds

3) Enter the amount you wish to add. Click on Next

4) Select the payment method. Add the billing details. Click on Proceed to pay.

5) Enter your card/payment details. Review and click on Pay.

Pay through bank transfer

You may also use direct bank transfer to make a payment towards the Empuls Wallet, to avoid payment gateway charges. This facility is available for customers in a limited set of countries. Please write to [email protected] to learn more about this payment option.

To ensure a smooth redemption experience for users who have received points as awards or gifts, please maintain the wallet balance equal to the total number of redeemable points. It will help ensure that users can redeem their points without any issues.

FAQs

What is the additional charge i.e Stripe processing fees to be paid for the wallet recharge?

Empuls uses Stripe as a payment gateway for the Wallet Recharge Transactions. Stripe charges up to 2% as fees for payment processing. Empuls sells the brand vouchers at their procured price. The lack of margins and the high volume of funds added to the wallet makes it difficult for Empuls to fund the Stripe fees.

We are working on alternatives that can reduce the burden and eventually make it financially viable for Empuls to absorb this cost. These alternatives include setting up local business entities and payment mechanisms to avoid currency conversion fees, adding new payment gateway solutions that charge lower fees, etc.
